SUMMARY:

The Project Coordinator will assist the Program Manager on the development and implementation of the program; prepare comprehensive action plans, including resources, periods and budgets for projects.  The coordinator will perform various coordinating tasks, like scheduling, onboarding, off boarding, customer service, regulatory compliance, ISO, risk management or other audits as required to identify any gaps in standard operating procedures and processes; along with administrative duties, such has project documentation/deliverables and handling financial queries. Responsible for resource management process by tracking resource skills and committed actual effort, and by resource scheduling.  Assist the Program Manager in working with   Government management personnel PMO, COR and customer agency representatives.  

Essential Job Functions:

  • Serve as deputy to the Program Manager; able to communicate between team members up to management, track and coordinate schedule, project deliverables, and documentation, organize documentation and information for audits, prepare communications for meetings, schedule appointments, and other tasks as assigned by management.  
  • Assist in coordination, distribution, and recollection of hardware assets and access cards for team members coming onto and leaving the program.  
  • Meet and onboard team members to the program including agency access and hardware.  
  • Maintain agency training records for submission to customer as applicable.  
  • Assist other project management personnel with creating time block and/or actual work.  
  • Identify and schedule project deliverables, milestones, and required tasks.  
  • Coordinate preparation and submission of contract deliverables by team technical leads to ensure deliverables are on schedule.  

  Education/Certifications:  

Bachelor’s Degree or the equivalent combination of education, professional training, or work experience or 4 years of direct experience is the equivalent of a bachelor’s degree  

  Required Knowledge/Experience:  

  • Previous experience as a Project Coordinator supporting Government Contracts  
  • Ability to analyze project needs and determine resources needed to meet objectives  
  • Conceptual knowledge of information technologies and methodologies including Atlassian products such as Jira and Confluence  
  • Strong project management skills, which includes experience in organizing, planning, and executing from vision through implementation small- to medium-scale projects involving internal personnel, contractors, and vendors  
  • Strong follow-up skills: ability to organize applicable department timelines and follow up with internal and external customer needs  
  • Strong written and oral communication skills, including the ability to present ideas and suggestions clearly and effectively  
  • Should be able to use Microsoft Office at an intermediate level including   
  • Microsoft Word to create and maintain program deliverable documents  
  • Knowledgeable on Table of Contents, page headers/footers, the differences between page and section breaks, formatting of section headings and how they impact the Table of Contents.  
  • Figure captions, table captions, and how those relate to generating a Table of Contents  
  • Microsoft Excel for the creation and maintenance of different spreadsheets   
  • We use Excel spreadsheets to track the hardware assignments, FY22/CY22 training completion, deliverables status/assignments, personnel onboarding/off boarding status  
  • Knowledge of/ability to formulate basic equations for sum, difference, mean, median, mode, and concat  
  • Knowledge of sorting function  
  • Conditional formatting  
  • Page view, print area, freezing panes  
  • Ability to track and/or follow program information through battle rhythm events, in-person/virtual discussions, meetings, and other various communications and collect that information from disparate sources and technical detail levels into a weekly status report.    
  • Strong organizational skills: ability to accomplish multiple tasks within the agreed upon timeframes through effective prioritization of duties and functions in a fast-paced environment  
  • Maintain neat, organized, and logical folder structure for the many files that we have to keep track of  
  • Must be able to act independently in face-to-face situations using judgment, tact, and discretion  
  • Ability to carry out assigned projects to their completion; ability to establish and maintain effective working relationships with co-workers, customers, prospective customers, and vendors
  • Must comply with all federal COVID-19 related vaccination and testing requirements, including, but not limited to, those set out in Executive Order 14042
